Chapter President
Role: Heads Local Chapter. Main liaison between local chapter and National Steering Committee. Holds a seat on National Steering Committee.
Responsibilities: Primary public representative of PbP in the local community. Direct and delegate the local steering committee team with a year-long strategy and vision consistent with PbP’s national goals. Responsible for fiscal and fiduciary stability of chapter. Ensures team cohesiveness and succession planning. Lead motivator of team. Sets agenda for status meetings, updates, and follow-up communications. Participates on national calls and meetings; communicates National updates to local team. Responsible for year-end chapter report to be presented to National President on team activities, accomplishments, learned lessons and best practices. Reports to the National President.
EVENTS TEAM
Director of Events
Role: Leads local event team and oversees team managers. Oversees planning and execution of all chapter events throughout the year and heads production of “Plate by Plate”, our Annual Tasting Benefit.
Responsibilities: Set vision for all events, decide on themes, create productions materials, creates solicitation/confirmation forms, liaises with participants, secures resources to enhance events, books entertainment and invites attendance by notable public figures. Responsible for year-end report to be presented to Local President on team activities, accomplishments, learned lessons and best practices. Reports to the Local President.
Manager of Event Production
Role: Supports Director of Events by executing logistics relating all chapter events. Ensure seamless production of event from start to finish by implementing tasks and procedures for pre-event and post-event production.
Responsibilities: Acquiring and negotiating venues, space amenities/capabilities/parameters, vendor and participant coordination, set-up/clean-up tasks, decor, rentals, supplies, multimedia requirements, auction and gift bag coordination. Communicate and coordinate with team on event logistic needs. Keep accurate log of all important event information and resources. Reports to the Team Director.
Manager of Restaurant Relations
Role: Main liaison for local restaurants and culinary entities.
Responsibilities: Build restaurant relations, forge and maintain chef relations, cultivating future prospects. Manage an updated database of all culinary. Network with culinary industry to represent PbP. Lead team of restaurant liaisons. Draft and update information and solicitation packets. Collect collateral on restaurants for marketing materials. Preparing and distribute chef gifts and thank you cards/letters. Reports to the Team Director.
Manager of Beverage & Winery Relations
Role: Main liaison for local beverage, libation and wine industry.
Responsibilities: Manage and forge relationships with beverage, libation and wine industry to secure participation and donations. Coordinate with Corporation Sponsorships Team to garner revenue generating initiatives. Maintain current relationships, acquire new contacts, and cultivate future partnerships. Manage and update database of contacts. Lead a team of winery liaisons. Draft solicitation and information packets. Collecting collateral on participants for marketing materials. Prepare and distribute participant’s gifts and thank you cards/letters. Reports to the Team Director.
OUTREACH TEAM
Director of Partner Outreach
Role: Leads local partner outreach team and oversees team managers. Main liaison between PbP and Beneficiary Partner. Oversees and manages local campaigns and relationships with beneficiary partners.
Responsibility: Creates vision for current partner campaign and sets goals for a successful partnership. Maintains clear lines of communication between PbP and the beneficiary partner throughout the campaign and disseminates information to the team. Keeps the goals of the theme in place within the campaign and strategizes ways to further garner awareness through collaborative efforts. Coordinates with team on partner-related community service and outreach projects. Strategizes with team on promoting public awareness and education campaigns of partner’s cause. Responsible for organizing Partner Campaign Kickoff event as well as any activities/programs/events with the partner with coordination with the Event Team. Responsible for year-end report to be presented to Local President on team activities, accomplishments, learned lessons and best practices. Reports to the Local President.
Manager of Past Partner Relations
Role: Primary liaison for past partners.
Responsibilities: Engage past partners in current activities without overshadowing current partner. Maintain list of past partner contacts and activities throughout the year. Provide PbPers with volunteer opportunities with Past Partners and updates team on past partner activities. Learns about all past partner missions and current programs to ensure smooth collaboration with the organizations and ability to discuss the topics within the community. Must be knowledgeable about past campaigns with PbP. Reports to the Team Director.
MARKETING TEAM
Director of Marketing & Sales
Role: Leads local marketing team and oversees team managers. Develops marketing and sales strategies for the local team on all initiatives and campaigns. Collaborates with National Team to ensure message and strategy consistency and accuracy.
Responsibilities: Design action plan for marketing messages, collateral and research for the year. Oversees production of all marketing collateral, info packets, flyers, invitations, correspondence, email, newsletters, and graphics. Manages all local print and web design needs. Works with Manager of Publicity to coordinate publicity campaigns on PR and promo strategies. Plan and execute strategies to increase attendance at events and maximize ticket sales. Seeks new marketing avenues through new media. Implement community affiliate program. Responsible for year-end report to be presented to Local President on team activities, accomplishments, learned lessons and best practices. Reports to the Local President.
Manager of Publicity & Promotions:
Role: Leads local media and promotional initiatives.
Responsibilities: Drafts press release. Maintain and updates list of media outlet contacts. Forges promotional partnerships. Creates innovative ways to highlight PbP and Beneficiary Partner in the media. Promote for all PbP activities to increase attendance and ticket sales. Assists with newsletter and email communications to member listserv. Apply for awards and recognitions to recognize PbP. Reports to the Team Director.
Manager of Design
Role: Create the visual images and collateral for local campaign and initiatives.
Responsibilities: Design logos and images to brand PbP and its activities. Designs marketing material for output. Negotiate with third party vendors for materials and layout of the collateral. Reports to the Team Director.
Manager of Multimedia
Role: Main manager of all aspects of multimedia coordination throughout the year.
Responsibilities: Heads all multimedia coordination relating to all activities such as meetings, workshops, events and Plate by Plate. Coordinates audio and visual needs at events such as sounds, music, mic, projector, lighting and special effects during events. Handles photography, videography and other means of capturing all chapter events and activities. Compile content, archive, and upload unto all PbP platforms for viewing and presentation. Coordinate with IT to upload all content onto PbP sites and social media platforms. Must have knowledge of photography, videography, post production editing, audio/visual technical requirements with live performances and presentations. Having own equipment and/or ability to procure technical capabilities a plus. Reports to the Team Director.
OPERATIONS TEAM
Director of Operations:
Role: Leads local operations team and oversees team managers. Supports Local President with logistical and duties.
Responsibilities: Manages chapter logistics and organization duties. Main holder of organization policies and polices inconsistencies. Coordinates team meeting logistics, mail coordination, storage, and chapter equipment/supplies maintenance. Keeps abreast of PbP policies and maintains chapter adherence. Responsible for year-end report to be presented to Local President on team activities, accomplishments, learned lessons and best practices. Reports to Local President.
Manager of Knowledge Management
Role: Primary holder of all PbP knowledge and manages accessibility of internal PbP data.
Responsibilities: Creates strategy in data organization, organizes and maintains chapter databases of critical contacts, chapter calendar, spreadsheets, developing knowledge sharing templates and guides, maintains email listserv, upkeeps with intranet updates. Acts as primary secretary for all steering committee meetings and records meeting minutes. Reports to Team Director.
Manager of Information Technology
Role: Primary coordinator for chapter IT needs.
Responsibilities: Maintains and identifies immediate and future IT needs by creating a vision for technology management. Manages PbP web presence, private intranet, email listserv, and online credit card processing data. Presents tutorials to team on how to use PbP IT properties such as JIRA and website updates. Coordinates with Marketing to updates social media profiles. Reports to Team Director.
CORPORATE SPONSORSHIP TEAM
Director of Local Corporate Relations
Role: Leads local corporate sponsorship team and oversees team managers. Main liaison between PbP and Corporations.
Responsibilities: Focus on revenue generating efforts for the chapter. Solicit and manage relationships with local corporate entities. Secures cash sponsors, underwriters, in-kind donors and other synergistic corporate partnerships. Works with National Director of Corporate Sponsorship on local component of any sponsorship strategies. Leverages community, corporate and political relationships for PbP opportunities. Responsible for planning Corporate Sponsor Appreciation Event. Responsible for year-end report to be presented to Local President on team activities, accomplishments, learned lessons and best practices. Reports to Local President.
Manager of Employee Affinity Groups and Matching Grants
Role: Primary liaison with corporate employee affinity group and department for matching grants.
Responsibilities: Identify companies with Asian American affinity groups and engage employees into PbP activities. Enlist PbP as a vetted non-profit for companies to funnel employees seeking volunteer opportunities. Solicit sponsorship dollars and donations from Employee Affinity Group budgets. Encourage PbP volunteers to donate to PbP and have their companies match their donations. Identify companies that have matching grant programs and engage their employees. Reports to Team Director.
Manager of Auction Donations
Role: Lead coordinator for live, silent, and online auction solicitation for all chapter activities and some national activities. Main liaison between PbP, donors and bidders.
Responsibilities: Solicit premium auction and gift bag items for all events. Ensures adherence to auction donor and bidder guidelines. Create solicitation materials. Maintain and update a master database of targets. Maintain and update list of inventory, confirmed items, and status of delivery. Produce bid sheets with product/services descriptions and starting bid prices/price increments. Manage auction process on the day-of event by coordinating delivery to and from event, setup of silent auction area, supervising schedule, and handling volunteer team. Follow up with post-event non-paid items, updating and reconciling database, and issuing thank you letters and tax receipts. Coordinates auction displays with Event Team. Reports to Team Director.
VOLUNTEER RELATIONS TEAM
Director of Volunteer Management
Role: Leads local volunteer team and oversees team managers. Performs as Human Resources division for PbP and acts as main liaison between PbP and its volunteers, new and current.
Responsibilities: Develop and implement volunteer recruitment and screening process. Ensure chapter adherence to PbP staffing policies. Receives and holds all applications. Manages database of volunteers. Reviews applications and places applicants into positions that fit their skills sets and fulfill PbP needs. Oversees all general volunteer events and meetings. Manages staffing needs for events and committees (i.e. name tags and business cards). Maintains constant communication with new and current volunteers. Resolves staffing issues with the Local President. Strategizes initiatives to enrich the PbP experience, motivate volunteers and alleviate burn out. Plans the Volunteer Appreciation Event. Responsible for year-end report to be presented to Local President on team activities, accomplishments, learned lessons and best practices. Reports to Local President.
Manager of Team and Leadership Development:
Role: Support the Volunteer Director by focusing on stability on the Steering Committee.
Responsibilities: Create leadership and bonding activities for the Steering Committee and potential new leadership team members. Seeks opportunities for PbPers to enhance leadership skills through workshops, inviting guest speakers, training sessions, and skill-based activities. Plans recreational activities for team building and burn-out relief. Reports to Team Director.
